What information we receive when you visit or contact us, how we use it and the rights available to you.

2. Information we receive
The contact form requires your name, email address and message. Company and phone number are optional. The required fields allow us to receive and respond to your enquiry. You can also contact us directly by email or phone.
When you visit, technical connection data such as IP address, browser, request time and requested address are processed to operate the website, diagnose problems and protect against abuse.
Please do not include passwords, payment details or sensitive personal data that are unnecessary for your enquiry.
3. Purposes and legal bases
We use your information to respond, discuss a possible engagement and prepare a quotation if requested. Steps you request before entering a contract with us rely on Article 6(1)(b) GDPR. General business correspondence and website protection rely on our legitimate interests in effective communication and security, under Article 6(1)(f).
Where a legal obligation requires us to retain information, Article 6(1)(c) applies. Optional promotional communications or non-essential trackers require appropriate separate consent; submitting the form does not provide that consent.
4. Contact form and recipients
The form uses Contact Form 7 to send your message to [email protected]. Your email address allows us to reply. Submitting the form does not subscribe you to a newsletter.
Relevant team members can access enquiries. Hosting, technical-support and email providers may process information where necessary to deliver their services. Information may also be disclosed to competent authorities where legally required.
5. Retention
We keep enquiries for as long as needed to complete the discussion, follow up on the request or support the resulting engagement. Retention depends on the nature of the enquiry, any active contract, record-keeping obligations and the establishment or defence of legal claims.
Technical logs and backups are retained according to system-security and recovery needs. You can ask us for information about the retention of a particular correspondence.
6. Cookies and preferences
The template.theme cookie is set when you choose light or dark appearance and remembers your choice for up to one year. You can delete it through your browser settings, which restores the default appearance.
Language preferences and authorised administrator sign-in may use functional cookies. The softly_preview cookie, lasting up to 30 days, is only used for special preview access through a corresponding link. It is not required for normal browsing.
The website includes Google Tag Manager for managing tags. Loading it connects your browser to Google. See Google’s Tag Manager privacy information.
Non-essential analytics or advertising cookies require prior consent. Simply browsing, accepting website terms or submitting the form does not constitute that consent.
Google Analytics: is used to analyse website traffic and usage, including page views, interactions and device or browser information. See Google Analytics privacy information.
Meta: is used to measure advertising activity and deliver relevant advertising. It may receive visit details, interactions, identifiers and technical data, and associate them with information from its services. See the Meta privacy policy.
7. Maps and external services
The contact page embeds an OpenStreetMap map. When it loads, the provider receives technical data such as your IP address and browser information. Processing is described in the OpenStreetMap Foundation privacy policy.
The directions link opens Google Maps. Following links to maps, social networks or other websites brings you under those providers’ policies. These services may process data outside the European Economic Area according to their notices and the transfer mechanisms they describe.
8. Your rights
Depending on the legal basis and applicable conditions, you may request access, correction, erasure, restriction or portability and object to processing based on legitimate interests. Where processing relies on consent, you can withdraw it for future processing.
Send requests to [email protected]. We may need reasonable information to verify your identity. We normally respond within one month; if an extension is permitted, we will explain why.
You can complain to the Hellenic Data Protection Authority or another competent supervisory authority. The contact form is not used to make automated decisions with legal or similarly significant effects on you.
9. Policy updates
This policy concerns this corporate website. Other Softly applications or services may have separate privacy notices. When website functions or processing practices change, we update this text and its date.
